Process documentation tools, compared: wiki, video, walkthrough, AI
Four shapes of process documentation, what each is actually for, and where each falls down. A practical category map for picking the right tool for “how do I do X?”.
The category called “process documentation software” isn't one category. It's four overlapping ones, and the reason buying decisions in this space go sideways so often is that teams compare a wiki against a screen recorder against a walkthrough tool as if they were the same product. They're not. Each shape answers “how do I do X?” in a different dialect, and most teams need two or three of them, not one.
This post is a category map. Four shapes — the wiki, the video, the walkthrough, the AI assistant — what each one is structurally good at, where it breaks, and which kinds of procedures each one fits. Disclosure: I work on UIHike, which is in the walkthrough category. I've tried to be honest about the cases where the wiki, the video, or the AI assistant is the better answer.
The four shapes
Each shape is defined by what its atomic unit is and what it stores in that unit.
Wiki. Atomic unit: a page. Storage: prose, with images, links, and tables nested inside. Examples: Confluence, Notion, GitHub Wiki, Microsoft Loop, Coda.
Video. Atomic unit: a clip. Storage: a continuous timeline of pixels and audio. Examples: Loom, Vimeo, Zoom recordings, anything that exports.mp4.
Walkthrough. Atomic unit: a step. Storage: an ordered sequence of steps, each containing a screenshot plus structured context (URL, clicked element, page title, value typed). Examples: Scribe, Tango, Guidde, iorad, Supademo, UIHike.
AI assistant. Atomic unit: a conversation turn. Storage: chat history that's indexed against the team's underlying data sources. Examples: Glean, Notion AI, Confluence Atlassian Intelligence, the new generation of in-app help bots like Glitter and Pylon-style support copilots.
Each shape's strengths come directly from the atomic unit. Each shape's weaknesses do too.
Wikis
What they're structurally good at
Free-form prose. The architecture decision record. The postmortem. The team charter. Glossaries, contact lists, policy libraries — anything where the value is in the argument, the audience reads top-to-bottom, and the doc gets authored once and edited rarely.
Wikis are also where the institutional permissions tree tends to live. Spaces, page templates, role-based access, audit history — the part of Confluence your IT team has spent years configuring. None of the other three shapes replaces that, and most teams running on Confluence aren't about to.
Where they break
Procedures. Every wiki ends up with the same graveyard: Confluence becomes the place where information goes to die because the wiki shape decouples writing from working. The author sits down on Friday afternoon, opens the editor, and tries to reconstruct from memory the procedure they did over the past three months. Memory has already lossy-compressed the work.
Worse, the wiki hides freshness. A page reviewed last week and a page written three years ago look identical. Nothing in the visual signal tells the reader the screenshots are from before the dashboard redesign. Every team has watched a runbook page lose accuracy over six months and stay published anyway, because there was no signal that anything had changed.
When the wiki is the right pick
Free-form prose, indexed reference data, anything top-to-bottom. Use the wiki for “why do we do this?” Don't use it for “how do we do it step by step?”
Video
What it's structurally good at
Communicating tone and intent. A 30-second Loom is faster to record than a written explanation, and the recipient gets pacing, emphasis, and the visual of your face if you want it. For one-off context — a code review, a feature walkthrough for a colleague, an async standup — video pays back the recording effort with interest.
Video also captures everything the screen does in real time. The hover state, the spinner, the network request, the typo you backspace over. For “here's what I see, debug with me,” video is hard to beat.
Where it breaks
Skim-ability and update cost. The number that gets quoted in the documentation-tool space is roughly two-thirds of users abandon a video tutorial when they can't scan for the specific written step they need. That isn't a knock on Loom; it's a knock on the video format for a procedural use case. The reader has to watch the video linearly, or scrub it with a vague sense of where the relevant step is. You can't Ctrl-F a recording.
Update cost is worse. The UI changes, the button moves, the URL gets renamed — your video is now wrong, and there's no edit. You re-record the whole clip, or you live with a doc that drifts. For a procedure that changes more than once a quarter, video is the wrong shape, not because the format is bad but because the unit (the timeline) is too coarse.
When video is the right pick
One-off async communication. A bug repro for a ticket. A walkthrough where tone or judgement is the point — “here's how I'd approach this code review” — and the recipient is going to watch it once and move on. Video is also fine as a complement to a walkthrough: a 90-second voiceover linked from the cover step, for the cases where text doesn't carry the intent.
Walkthroughs
What they're structurally good at
Procedures that get followed step by step. Onboarding guides, runbooks, support playbooks, audit walkthroughs, demo scripts, SOPs. The shape fits because the atomic unit (a step) is the same shape as the work — a sequence of clicks, page transitions, and form inputs that someone will follow in order.
Each step in a walkthrough carries structured context the screenshot alone is missing: the URL at capture time, the visible text on the clicked element, the input value, the page title. That turns a screenshot from a riddle into a reproducible step. The reader can copy the URL, search for the element label even if the page has been redesigned, and see when the step was last captured.
The author benefits as much as the reader. The recording captures what actually happened, including the procedures the author does automatically and would have skipped in a memory-based wiki write-up. Total editing time after capture is usually 10 to 20 minutes for a fifteen-step walkthrough; comparable wiki output from memory takes hours and produces less detail.
Where they break
Free-form argument. A walkthrough is a sequence of steps; it's the wrong shape for a strategy memo, a postmortem, or anything where the value is in the prose. The mistake teams make is trying to put their architecture documentation in a walkthrough tool because they liked the walkthrough tool for runbooks. The shape doesn't fit.
Walkthroughs also lag wikis on real-time co-editing. If two people need to edit the same step simultaneously with cursors and presence, that's wiki territory. UIHike specifically lets multiple users view and comment on a shared walkthrough; live multi-user editing of the same step isn't there yet.
When the walkthrough is the right pick
Anything procedural that someone will follow step by step, more than once, with more than five steps. Onboarding, runbooks, audit packages, support docs, demos. Anything that today is a wiki page with five screenshots and the title “how to X.”
AI assistants
What they're structurally good at
Answering free-text questions across an existing corpus. The team has a wiki, a Slack history, a ticket tracker, a code repo, an email archive. An AI assistant indexes all of it and answers “where's the runbook for X?” or “who fixed the last incident with Y?” in natural language.
For knowledge that already exists somewhere — even badly — and the problem is finding it, AI assistants do real work. The reader doesn't have to know which wiki space the doc lives in. The assistant does the search.
Where they break
They can only retrieve what was written down. The assistant indexes the corpus; it doesn't create new procedural docs. If the team's tribal knowledge isn't written down — and for most teams the most-painful procedural knowledge isn't — the assistant can't surface it. It hallucinates instead, or admits ignorance, depending on the model.
When the assistant retrieves the wrong page — the stale runbook, the deprecated tool — it presents the wrong answer with the same confidence as the right answer. The freshness problem the wiki hid from human readers gets hidden from the AI too, and now the AI is repeating the stale page in chat. That's a regression, not an upgrade.
For procedural use cases specifically, AI assistants are bad at “walk me through the steps,” because they retrieve text. The steps the team needs are the ones encoded in prose pages that hide the underlying click sequence. The assistant gives back the prose, not the procedure.
When the AI assistant is the right pick
Cross-corpus search. Front-line support triage where the question is “what does this customer have access to?” or “is there a known issue with X?” and the answer lives in a ticket history. As a chat layer on top of a wiki + walkthrough setup that already has good source material. Not as the substrate for the source material itself.
The matrix
Four shapes, mapped to the procedural use cases teams keep trying to solve. The point isn't that one shape wins; the point is that each one wins a different category.
Onboarding doc for a new hire. Walkthrough wins. The new hire needs to follow the steps in order, on real systems, with the URLs and elements they'll actually click. Wiki for the “why do we do this?” framing; walkthrough for “here's the sequence.”
On-call runbook. Walkthrough wins. At 2am the on-call needs the click sequence, not a paragraph that summarizes it. Wiki for context on the system architecture; walkthrough for the recovery procedure.
Architecture decision record. Wiki wins. Free-form prose, audience reads top-to-bottom, edited rarely. Walkthrough is the wrong shape; AI assistant indexes the prose but doesn't replace it.
One-off code review feedback. Video wins. 30 seconds of Loom is faster than writing a paragraph, and the recipient watches once and moves on. Walkthrough is overkill; wiki is too slow.
“Where do I find the X policy?” AI assistant wins, on top of a wiki where the policy actually lives. The policy itself stays in the wiki; the AI is the search layer.
Audit package for SOC 2 / ISO 27001. Walkthrough wins, with an export to PDF for the auditor. The auditor wants the click sequence with timestamps and the structured trail of who did what when. That's a walkthrough's native shape; wikis can be made to do it but it's uphill.
Support knowledge base. Hybrid. Walkthroughs for the “how-to” articles, wiki for the policies, AI assistant on top to route the customer's natural-language question to the right walkthrough or wiki page.
The trap of buying one tool for everything
The question every vendor wants to be the answer to is “what's the one tool we should buy for documentation?” The honest answer is “you need two or three, and the right two depends on what you actually do.”
Most software teams settle into a stack like:
- Wiki — Confluence or Notion, for prose, policy, and reference. Whatever is already deployed; the migration cost is rarely worth paying.
- Walkthrough — UIHike, Scribe, or Tango, for procedures and onboarding. The wiki links to the walkthroughs; walkthroughs export back to the wiki when needed.
- Video — Loom, for one-off async communication and tone-heavy explanations.
- AI assistant — optional, on top of the above. Glean or Notion AI when the volume of source material is large enough that search is the bottleneck. Skip it until that's actually true.
The split keeps each shape doing what it's good at. Procedures stop rotting in the wiki because they're not in the wiki. The wiki stops being a graveyard because the wrong-shape content is gone. The video stays short because it isn't carrying load it shouldn't. The AI assistant has clean source material to index, instead of a decade of stale runbooks.
How to choose for your team
Three questions to ask before adding a tool to the stack.
What's the unit of the work you're documenting? If the unit is a click sequence, you want a walkthrough. If it's an argument, you want a wiki. If it's a tone-heavy moment, video. If it's a question against an existing corpus, an AI assistant.
How often does the underlying thing change? If the answer is “every quarter or more,” rule out video — re-recording is too expensive. If the answer is “once a year or less,” the wiki is fine; the rot rate is slow enough that scheduled review can keep up.
Who is the reader, and what are they going to do with the doc? A reader following the doc step by step on a live system needs a walkthrough. A reader skimming for context needs a wiki page. A reader asking a question wants an AI assistant. A reader watching a single demo wants a video.
The wrong move is to pick a tool first and try to fit your work into its shape. The right move is to pick the shape your work has, and then pick a tool in that category.
Closing
Process documentation isn't one category, and the buying decision goes sideways when teams pretend it is. Wikis are for prose. Videos are for tone. Walkthroughs are for procedures. AI assistants are for search. Most teams need at least the first three, and adding the fourth makes sense once the first three have produced enough source material to be worth indexing.
The procedural slot — runbooks, onboarding, audit walkthroughs, demos — is where most teams are still trying to make a wiki do the job. That's where the walkthrough shape pays back the fastest, because the shape of the tool finally matches the shape of the work.
Try UIHike on the process doc that has rotted hardest in your wiki. The first walkthrough takes an afternoon. The math gets clear from there.
